Terms of ServicePrivacy Notice

This Notice explains how Caribou Company Limited collects, uses, stores and shares personal information. It should be read with our Terms of Service.

1. Who Is Responsible for Your Information?

Caribou Company Limited is the data controller responsible for personal information described in this Notice. Operating address: Plot No. 6494, Mugoti Road, Roma, Lusaka, Zambia. Telephone: +260 779 118 673. Email: finance@caribouzm.com. You may also contact us through your Caribou outlet.

2. Information We Collect

We may collect names, customer references, contact and address details, collection centre, account credentials, shipment descriptions, values, dimensions, photographs, supplier and tracking references, customs documents, quotations, invoices, payments, bank references, receipts, payment evidence, signatures, proof of delivery, service requests, communications, notification preferences, device/browser information, IP addresses and security or audit events. Passwords are stored using cryptographic hashing and not in readable form.

3. Where We Obtain Information

We obtain information from you, authorised representatives, senders, recipients, suppliers, carriers, collection outlets, payment providers, customs and other authorities, Odoo and linked business systems, and information generated when services and the portal are used.

4. Why We Process Personal Information

We process information where necessary to create and secure accounts; provide quotations; contract for, receive, transport, store, track, clear and deliver goods; provide assisted shopping and collection services; invoice, receive and reconcile payments; issue documents; communicate service updates; prevent fraud; protect people, cargo and systems; comply with accounting, tax, customs, regulatory and legal duties; and establish, exercise or defend legal claims. The applicable basis may include performance of a contract, legal obligation, consent where appropriate, protection of legitimate interests subject to your rights, or another basis permitted by law.

5. Service Communications and Marketing

Account verification, security, shipment, payment and collection messages are service communications. We do not currently operate a separate website marketing-consent programme. If optional marketing is introduced, it will not be a condition of cargo services and an opt-out will be provided.

6. Sharing Personal Information

We may share necessary information with Caribou staff, outlets, warehouses and agents; freight carriers and clearing agents; customs, tax, courts, regulators and law enforcement; banks and payment providers; Odoo; hosting, backup, email, SMS, security and IT providers; insurers, auditors, accountants, lawyers and claims handlers. We do not sell personal information.

7. International Transfers and Storage

Cargo operations and service providers may involve processing in Zambia, South Africa or other countries. We will use a transfer basis and reasonable contractual, organisational and technical safeguards required by applicable law. Contact us through the available channels for information about relevant transfers and safeguards.

8. How Long We Keep Information

We keep information only for as long as reasonably needed for the stated purposes, contractual and operational requirements, applicable accounting, tax, customs and legal duties, dispute or claim periods, security, and backup integrity. Retention varies by record type. Contact us if you want information about how long a particular category of your information is kept.

9. Security

We use safeguards appropriate to the information and risk, including access controls based on role and centre, cryptographic password hashing, secure session controls, HTTPS protections when the service is accessed over HTTPS, private document storage, controlled or expiring document links, audit logging and encrypted backup capability. No system is completely secure.

10. Security Incidents

We investigate suspected loss, misuse or unauthorised access and take reasonable containment and remediation steps. We will notify the relevant authority and affected individuals where and within the period required by applicable law, without representing an unverified statutory deadline here.

11. Your Rights

Subject to applicable law and exceptions, you may request access to personal information, correction of inaccurate or incomplete information, erasure where continued retention is not lawful or necessary, restriction of or objection to processing, withdrawal of consent without affecting earlier lawful processing, information about transfers, and review of a significant automated decision.

12. Exercising Your Rights

Submit a request through your Caribou outlet, telephone us or email finance@caribouzm.com. Describe the request and relevant account or shipment. We may verify identity and authority before disclosure or alteration. We will respond in accordance with applicable law.

13. Automated Decisions

The platform uses rules for calculations, eligibility, routing, security and workflow controls. Caribou does not currently represent that customers are subject to decisions producing legal or similarly significant effects solely by automated processing. Contact us if you believe such a decision has affected you.

14. Children’s Information

Our services are not directed to children creating accounts independently. A parent, guardian or authorised adult should act where a service concerns a child. Contact us if information was supplied without appropriate authority.

15. Complaints

Raise privacy concerns with Caribou through your outlet, by telephone or by email. You may also complain to the Zambian Data Protection Commissioner or pursue another remedy available under applicable law. Contact us if you need assistance locating the appropriate complaints channel.

16. Changes to This Notice

We may update this Notice for legal, operational, technology or service changes. The current version and dates appear above, and material changes will be communicated where appropriate.
